Why we exist
Most compensation plans in Belgium are stuck in the past: low-yield products, low transparency, endless paperwork. Meanwhile, employees are stressed about money and HR teams are buried in admin.
That’s where WARREN comes in. We’re pioneering Wealth Enablement: a new category that makes pension, benefits and investing options modern, transparent, and actually valued. Employers love us because we help them attract and retain talent. Employees love us because their money finally works for them.
We’ve secured our pension fund license, a first-of-its-kind in Belgium, and momentum is exploding. As we scale, the quality of our operations is what separates a good experience from a great one. That’s where you come in.
What you’ll own
We’re looking for an Operations Associate who takes pride in making complex things simple, broken things work, and good processes great.
This is a full-time operations role at the heart of Warren. You’ll own the operational backbone of both our regulated pension fund (Warren Pension Fund OFP) and our fintech entity (Warren BV), from participant administration and contribution reconciliation to internal tooling and process improvement.
You’ll work closely with our finance, product, and customer teams, with direct exposure to real operational decisions from day one. No two weeks are the same. You’ll be the person who spots what’s breaking before it breaks and fixes it before anyone notices.
The day to day
01
Pension Fund Operations (Warren Pension Fund OFP)
Own day-to-day participant administration: data accuracy, benefit statements, and documentation
Manage contribution tracking, employment data reconciliation, and cash transfers
Maintain and improve reporting dashboards and board-level operational insights
Liaise with external parties (custodians, actuaries, regulators) to keep processes compliant and on track
02
Company Operations (Warren BV)
Own the operational heartbeat of Warren BV: invoicing, vendor management, etc
Document, standardise and continuously improve how things are done internally
Select, implement and maintain operational tools as the business scales
Be the go-to person when something operational isn’t working and the one who fixes it
03
Process Excellence & Automation
Map and document existing operational processes end-to-end
Identify bottlenecks and manual steps that are ripe for automation
Experiment with AI-native tools and agentic workflows to reduce repetitive work
Propose and implement improvements that free up the team’s time for higher-value work
Turn operational chaos into replicable, scalable systems
This Role Is for You If…
You have 2–5 years of experience in operations, administration, or a similar execution-heavy role
You are detail-obsessed: you notice what others miss and care about getting it right
You are highly structured: you build systems, not workarounds
You are comfortable in a regulated environment and not intimidated by compliance requirements
You are tech-savvy: you learn new tools fast and see automation as a superpower, not a threat
You are a strong communicator: clear, calm, and reliable when things get complex
You are self-directed: you don’t wait to be told when something needs fixing
You are a native Dutch speaker, fluent in English
Most importantly: you want to be the person the whole team relies on, and you take that responsibility seriously.
