Job Description

Minimum Requirements:

Qualifications:

  • Diploma or Certificate in Property Studies / Facilities Management

  • A valid driver's licence (Code B or equivalent).

Advantageous Qualifications:

  • Professional Certifications: Health & Safety (aligned to the Labor Act and local regulations) and Facilities Management certificates from international bodies (e.g., IFMA or BIFM/IWFM).

  • Occupational / Technical Training: Trade-related qualifications (electrical, HVAC, plumbing) that support hands-on facilities management

  • Additional certifications in occupational health and safety, fire safety, or security systems will be considered advantageous.

Experience

  • A minimum of five (2) years of applied, demonstrable experience in a properties management, facilities management, or building maintenance environment.

  • Experience with preventative maintenance scheduling, work plan development, and vendor coordination.

  • Exposure to corporate or commercial property environments is strongly preferred.

Technical Skills and Competencies

  • Effective Microsoft Office skills, including proficiency in Word, Excel, and Outlook for scheduling, reporting, and correspondence.

  • Familiarity with Teams.

  • Adaptability: Willingness to assist across a broad range of tasks, including office relocations, ad-hoc maintenance requests, and after-hours support when required.

  • Safety Consciousness: A strong awareness of occupational health and safety requirements and a commitment to maintaining safe working environments.

Job Responsibilities

  • Manage the properties Quote and Invoicing System and act as a nodal point for the request, selection and adjudication of the appointment of the appropriate successful bidders, and tracking and driving the end to end financial delivery process for Premises and Properties activities.

  • Conduct routine inspections related to health and safety, fire safety, and building security across all Old Mutual Namibia premises and assist in the identification and reporting safety hazards, non-compliance issues, and maintenance deficiencies in accordance with established procedures.

  • Maintaining and updating compliance and regulatory standards documentation, including safety registers, inspection logs, and certification records and support the preparation for internal and external audits related to facilities, safety, and security compliance and ensure that all fire safety equipment (extinguishers, hose reels, emergency lighting) is inspected and serviced in accordance with regulatory schedules.

  • Develop, maintain, and execute a preventative maintenance schedule for all CCTV and access control hardware and perform routine checks on CCTV cameras, DVR/NVR units, cabling, and network connectivity to ensure continuous operational availability.

  •  Provide assistance with user enrolments, card/biometric registrations, access level assignments, and periodic access reviews and maintain the L1 operational relationship with vendors performing CCTV and access control services.
